When will I hear about accommodation?

At the start of September those who requested a room will receive an email from Dr Becky Coombs, College Registrar with information about the room you have been assigned for the coming year and your Licence Agreement will be available on RMS .  n.b. you will need to have activated your raven account to log in.

You can accept your Licence Agreement on RMS, otherwise, taking your keys indicates that you have entered into the Licence Agreement. It is not possible to see your room before your arrival in Cambridge.  

Tenancy begins on 30th September but if you wish to arrive earlier this may be possible by completing the early arrival request form.

Insurance - Student Contents Insurance is included in your rent.

University Registration 

 

University Student Registration Process - click for info.

During August/September you'll be sent a welcome email from the Student Registry (cambridge.registration@admin.cam.ac.uk), inviting you to complete your student registration - it will be sent to the email address you gave when you applied to Cambridge.   Complete the registration as soon as you receive your email.

Contact the Student Registry, if you don't receive your welcome email by mid-September.

You need to complete your student registration before the start of Michaelmas term.

You can log in to your @cam email address after you have completed your Student Registration.  see next section.

Cambridge Email Account, @ Cam Email and IT

 

You can get started on setting up your University Account, accessing your email and setting up your IT before you arrive:

An @cam email and Raven password, are essential for communicating with us and for logging in to IT services.  Follow the link for information about access to IT resources.   University Information Services 

Judge Business School students will be issued with an @jbs.cam email in addition to the @cam email so will have two mailboxes.  It is essential that you set up your @cam email as this is the only email address we will use to communicate with you.

Welcome to Pembroke College! Despite a summer of very mixed weather, even here in Cambridge where we usually have such excellent summers, we are delighted to be welcoming a new cohort of students. 

Booking an Appointment

To book an appointment to see me, please use the Scheduler on my new Moodle course. You will need to self-enrol on the course in order to use it. You will be able to view the appointments that are currently available, and once you have selected your preferred time slot, only I will be able to see your name. You can also email if you have any questions.

Register with a doctor (GP)

One of the most important things you can do before you even arrive in Cambridge is register online with a local GP:

These surgeries are all within easy walking distance from Pembroke and the staff there are very experienced at working with students. You just need to make sure that you put “Pembroke College” as your current address and your home location as your previous address. 

I am going to sound like a nag here, but it always seems to be the students who don’t get around to registering who have some kind of medical crisis in the first few weeks, so please don’t put this on the back burner! If you have any ongoing medical issues or take regular prescribed medication, it is particularly important that you register as soon as you can to avoid delays in your treatment.  If you experience any difficulties registering, or need some assistance getting this done, do let me know.

Health Questionnaire

I also will be sending out a very similar health questionnaire to the one you fill in to register with the Dr or GP (General Practitioner or Family Doctor). This is so that I have records of your medical history, vaccinations and allergies, and I know duplicating the same information is tiresome, but ultimately it is to help you and ensure you receive prompt and appropriate care and all of the information you provide is held in the strictest confidence.

Role of the College Nurse

The role of a college nurse is very similar to that of a practice nurse.  I can advise on minor injuries and illnesses, sexual health and contraception and management of chronic conditions such as asthma and diabetes, and also support you to access help for mental health conditions. Fresher’s Flu is very common in Michaelmas (you will be lucky if you manage to dodge it!) so I would encourage you to bring a small first aid kit with you, to include basic painkillers like paracetamol, but especially a decent thermometer which will make assessing any minor illnesses easier for me! As I’m sure you know, current Public Health guidance regarding COVID-19 is that we should take sensible steps to protect others if we experience respiratory symptoms. Testing is not required and isolation is no longer mandatory, but is still recommended, at least for the first few days, following the onset of symptoms – no-one will thank you for sharing bugs around!

Welcome to Pembroke College! I have no doubt you have worked incredibly hard to be here.

I have worked at Pembroke for over 15 years and have been incredibly happy here as I hope you all will be too. I changed roles 3 years ago to focus on Wellbeing and Disabilities because the Tutorial team at Pembroke is really committed to providing more dedicated time and support to students who may be struggling with settling in, and who experience anxiety and stress, depressive disorders and also pre-existing/chronic physical and mental health conditions and disabilities. I work closely with Sarah Winder-Worsley, the College Nurse, and between us we will be able to ensure that whatever health issues you have (no matter how trivial, worrying or embarrassing), we are here to help.

Role of the Wellbeing and Disabilities Nurse

Some of you will already have declared health issues but often students don’t realise that there is support or feel anxious about confidentiality. My role is to listen in confidence, offer up to date guidance on accessing the appropriate support, and helping you with any problems along the way. There tends to be a lot of pressure on the Accessibility and Disability Resource Centre (ADRC) at the beginning of Michaelmas term, so if you have any chronic health conditions (too numerous to list, but do include mental health conditions such as depression and anxiety) or have neuro-diversity (Autism, ADHD, dyspraxia, dyslexia) it will be really helpful if you can email me so that we can get support in place early.

Make an appointment

I have a very lovely room in Red Building, G9, and I see students by appointment, which you can make by emailing me jb652@cam.ac.uk. You may feel happier to go for a walk, (depending on the weather of course) or to one of my favourite coffee shops. I have a very friendly well-behaved English Springer Spaniel, so if you would like him to join us for a walk just let me know, he’s a great therapist! Also, situations can change during your time here, so please do get in touch if you find yourself struggling at any point. I can only help if I am aware! 

We will meet during Fresher’s week so you can put a face to the name, and you will see me around college, usually speeding along as there are never enough hours in the day. Please do feel free to email me before you arrive if there is anything you feel I can help with.

Buying an academic Gown

 

You you will need a gown for the Matriculation Photograph and Matriculation Ceremony and for any Formal Hall dinners you attend (and eventually for your graduation). 

Which Gown

Which gown you need is NOT the gown of the degree you are about to study for! Your gown depends on:

i) whether already hold a Cambridge University degree and ii) if you are under or over 24.

Postgraduate Tutor

 

The College has a team of Postgraduate Tutors and you will be assigned a specific Tutor who will be your contact for the duration of your studies. Your Tutor is a Fellow of the College who serves as a general advisor with non-academic problems that might arise during your time here. 

Your Postgraduate Tutor is not someone in your academic discipline and does not teach you (your department will allocate you a supervisor and/or course director). 

An email with the name of your Tutor will be sent to your @cam email account in September.

Even if you are fine and all is well, it is a good idea to meet your Tutor so that you know who they are. Tutors need to sign applications for such things as Leave to Work Away, Thesis Extension, Intermission, and will act as your advocate with the College/University if something goes wrong, eg. exam appeals, need for financial assistance and dealing with illness.

Sending your luggage to Pembroke

 

Any luggage you send on to Pembroke must arrive when you are here.  It must not arrive before you do as we do not have the space to store it.  Arrange for your luggage to arrive on a date when you are here so that you can take possession of your things.

The official start date of courses in Michaelmas Term is always 1 October. This date does not change year to year, however the University ‘Full Term’ dates do vary and in 2023 the start of Full Term falls on 3 October (term dates).

Saturday 30th September, 8am-4pm - Nihon Room reception centre on AA staircase in Foundress Court (see map)

On Saturday 30th September from 8am-4pm, the Porters will staff a reception centre in the Nihon Room welcoming new undergraduates and postgraduates and handing out room keys to those with College-owned accommodation, and University Cards .  

Members of the Graduate Parlour (GP, the postgraduate student organisation) will be in the graduate common room (also called the GP) on M staircase to welcome you and show you around.   (If you are not living in college accommodation there is no need to attend but do visit the GP if you would like a tour of the College).  The GP will be holding freshers’ events starting this weekend and during the following week (GPC Welcome Pack available in September).

Arriving on another day/time?  Please collect your room key/card from the Porters' Lodge. 

Arriving at a very early/late hour? The Porters' Lodge is open 24hrs - contact them to let them know when to expect you (porters@pem.cam.ac.uk or 01223 338100). 

Earlier Arrival

 

If you wish to move into your room before 30th September, this may be arranged in advance by completing an early arrival request form.

Council Tax - A note about early arrival dates – if you arrive into privately rented accommodation before 1 October it is likely that the Cambridge City Council will charge Council Tax (housing tax) for the period up to the start of your course on 1st October.  Students are normally exempt from this tax whilst studying unless sharing with others who are not students.  More information about Council Tax.

Out of Hours arrival -  The Porters Lodge at the main entrance from Trumpington Street is open 24 hours a day - if  you will be arriving outside normal office hours please contact the Porters' Lodge (porters@pem.cam.ac.uk or 01223 338100) with an estimated time of arrival so that they know to expect you.

How to Arrive

 

It's a bit tricky due to Pembroke's very central location.  You need to collect your key/card from the Porters, then unload things either on the Pembroke site/back gate or at a nearby hostel...Once you know where you are living the Porters can advise what's best. Porters' Lodge (porters@pem.cam.ac.uk or 01223 338100).

Arriving by Taxi  - The Pembroke postcode (CB24 6DE) will take you to the front of Pembroke and the Porters' Lodge.

Arriving by car 

Pembroke is surrounded by a busy road, it is not advisable to stop your car at the front of the College as you may block the traffic.  Vehicle access is via the back gate on Tennis Court Road

There may be parking available on the College site at the weekend or during the week after 6pm for up to an hour.

Weekday arrivals - you may be able to stop for a short time near the back gate on Tennis Court Road to unload (do not leave the car unattended). Use the intercom at the back gate to contact the Porters to open the gates.

Car Parking  - the nearest car park is the Grand Arcade car park. Parking in Cambridge is very expensive, see the Cambridge City Council parking website for information.  The Cambridge Park and Ride Service is recommended if you are staying for more than a few hours.

Find your pigeonhole  This can be found in the mailroom (B staircase) by the Porters' Lodge. (NB. your pigeonhole is sited beneath your name, not above it)

The dates given in his section are for those arriving for Michaelmas Term 2023.  If you are arriving in January or April there are few specific dates, but please complete everything as soon as possible.

University card

Collect  your University Card from the Porters' Lodge (You will need to bring your ID - passport or driving licence)

EMBA and EMAcc students will collect their University card from the Judge Business School in September.

Note: if you don't use your card for a week it will 'go to sleep'. To reactivate, try tapping a card reader at a College gate or door. Do this before trying to pay for your lunch, as you may find you can't pay!

University Registration - online

Complete the University Student Registration Process if you have not already done so

If you have not already completed this before your arrival in Cambridge it should be completed before 1st October. 

University email and passwords.  Once you have completed the Registration process you will be able to collect your University email address and passwords and the check the personal data that is held about you.

As a new student at the University of Cambridge you are required to formally register as a member of the University by completing the matriculation process. Matriculation is a two-stage process by which new members join the University (subscribing to the University's Statutes and Ordinances) and their College

Student Prices

All your fees (University and College) for the year must be paid in full before you can matriculate. If you experience problems meeting the payment deadline please speak to the College Registrar, Room (LL3) before the deadline, otherwise unpaid accounts will incur a fine of £20 plus interest charges.

International Students - passport, visa and BRP

Before you start your studies at Cambridge, you will need to provide us with evidence of your student immigration documentation for your student record, in accordance with UK Visa and Immigration (UKVI) requirements.

You will need to attend in person to have your documents checked and scanned.

Arrangements for in-person checks

You will need to bring your documents to LL3, Ivy Court between 8.30am - 12noon or 1pm - 4pm Monday - Friday.

EMBA and EMAcc students will have their documents scanned at the Judge Business School

What you need to provide depends on your circumstances.

We ask that you read "Immigration documents - what to provide" carefully so you are aware what you need to provide when you attend the in-person check. The information on the first page is for students who obtained their visa outside the UK, and the second page outlines information for students who are able to apply for their visa from inside the UK.

As outlined in the document, depending on your circumstances, you may need to send us information in advance prior to attending the in-person check – if the guidance asks you to forward information by email, please forward to becky.coombs@pem.cam.ac.uk.

Collection of your BRP

If you selected in your visa application to collect your BRP from the University,  you will collect this from Pembroke after the in-person document check - we will email you once we have received your BRP to let you know it is ready for collection

If you chose to collect your BRP from the Post Office, please collect this as soon as possible after you arrive in the UK.

 

Buy an academic Gown

You will need to purchase a gown for the matriculation photograph and ceremony and for any Formal Hall dinners you attend (and also for your graduation).  The two criteria for determining which gown you need are: 

i) Whether you already hold a Cambridge University degree and ii) Your age

The Student Union website explains which gown you will need and where to get it. Gowns may also be purchased from academic clothiers Ede and Ravenscroft or Ryder and Amies.  The Graduate Parlour welcome booklet gives information on gowns.

Please read carefully the guidance on which gown you need (it will not be the gown of the degree you are about to study for!)

Open a Bank Account

 

If you are new to the UK you may want to open a UK bank account – we cannot recommend a specific bank because each will offer different services so it is worth looking around to find the best one for you. The University International Office has information on opening a bank account.

For a letter from Pembroke to confirm your student status – email the Tutorial Office (Deki Hathorn, College Registrar’s Assistant), including the name of the bank you wish to join. 

Register with a Doctor

 

The University of Cambridge does not have its own medical practice so all students need to register with a local doctor in order to access the NHS services.  This can be done by completing an online form -  The nearest practice to Pembroke College is the Trumpington Street practice.

E-Scooters

It is not legal to ride your own e-scooter on the roads.  Only Voi rental e-scooters are permitted on the roads in Cambridge. You must hold a valid driving licence.  No riding on the footpaths allowed, ride on the roads/cycle lanes only.

Following the Induction there will be an opportunity to meet other new students and your Tutor at the Welcome Reception where food and drink will be served.

This is the group photograph of all new Pembroke undergraduates and postgraduates who are matriculating in 2023 (new Pembroke members only, not for those who have previously matriculated into Pembroke). There is only one opportunity to join the photograph, so do try to attend if you can as you may not participate in any other year.

Formal Dress Code - Gown + smart attire, preferably dark.  Ties (not bow ties) are to be worn with suits. You should wear similar formal attire for the Matriculation Ceremony

Postgraduate Matriculation ceremony - 3rd October 2023

 

For Postgraduate students who are NEW to Pembroke (you only matriculate once)

Matriculation Ceremony - Tuesday 3 October, 2.00-3.45pm, Old Library (20 minute sessions)

This is the formal occasion when you meet the Praelector, Dr Arbabzadah, and sign the matriculation book to mark becoming a member of the College. Dress code:  Smart & gown.

Timeslots are allocated alphabetically by surname - see below (email confirmation will follow). Please go to the Old Library at your allotted time wearing smart attire + gown.

This is a busy time of the term - if you have a clash of commitments with your department and cannot attend at your allotted time, do not worry.  Contact Moira Hassett, the  Postgraduate Administrator who will offer an alternative timeslot on the same day, or move you to a second smaller matriculation session on another day with others in your position.

The Master and Fellows of Pembroke will host a Matriculation Dinner for all those starting a postgraduate course this term (including those who have previously studied at Pembroke) – 7.00pm pre-dinner drinks in the Old Library.  7.30pm dinner in Hall.  

Dress code: College gown, with jacket and tie / smart attire.

Getting to know Pembroke

UPAY and your Catering account

All students who pay the College Student Facilities Charge (SFC) have a catering account. Meals are paid for by using your College card account.

You are allowed to accumulate up to £100 of charges on your College catering account.  'Top' up your account (via UPAY or in cash) to keep the balance within within the £100 limit. Currently, any balance on the card at the end of term is transferred to your College Bill.

UPay online payment and booking system

You will receive a welcome email from UPay with instructions on setting up your UPay account.  Use UPay to top up the credit on your University card.  You will also use UPay to book into Formal Hall and other events online....

Topping up using cash -  at the Buttery and at Cafe Pembroke. Please avoid making top ups at the busy lunch time period. You can also top up by debit card in person in the Finance Office (74 Trumpington St), Monday to Friday 10.30 am to 2.30 pm.

Problems with your  UPay account??   The Finance Office will be able to help, and initiate another UPay welcome email.

Remember to take your University Card - First, go to the servery and select your food.  You can pay using your University Card (or cash/payment card).  Then take your tray through to the dining hall where you will find cutlery, water and condiments.  You can top up the credit on your card at the till or online via your Upay account....

If you want to pay with your University card, ensure you have set up your UPAY account.

Book in to Formal Hall

 

Formal Hall and BA Dinner - book online using UPay.  The cost will go onto your College bill.

Held 3/4 times a week during term time - Tuesdays for Undergraduates only, Fridays for Postgrads (called the BA Dinner because you all hold a BA), and Sundays for all.  Check the dates online as variations may apply.

Booking a room and a student guest room

 

Booking a student Guest Room- RMS online system -  

Once you have your @cam email and Raven password, (AND when RMS has been opened for bookings for the next term) you may book one of two student guest rooms (single beds, shared WC) for one term ahead only using the Rooms Management System (RMS) Go to Bookings - Guest Rooms.

Booking a Meeting, Supervision or Study Room - you can see available rooms in  Rooms Management System (RMS). There are supervision rooms and student meeting rooms available - in  'Agreement' below choose Meeting or Student Study Area or Supervision  You can also book sports facilities. 

Booking a College Function Room - Rooms are allocated by the Catering department - complete this form and the function rooms administrator will allocate an appropriate room for your event.

Library Induction sessions for postgraduates (booking required)

  • Wednesday 4 October – 17.00, 17.20, 17.40.
  • Tuesday 10 October –  09.30.

Genny Grimm, the Librarian, will register you for a library induction on Monday 2nd October at the Postgraduate Welcome evening - you can sign up for your induction then, or alternatively, email the Library to register.

Using a Locker

Lockers can be found in M staircase (near the GP toilets) and are for occasional use only - you cannot reserve one for your permanent use.  The lockers are cleared out periodically by the Tutorial Office (LL3). Any problem contact Deki Hathorn or Becky Coombs in the Tutorial Office (office hours) or the Porters.
